Orders

Orders are the operational heartbeat of the platform. ShopSTAR3 handles the full order lifecycle — from storefront purchase through fulfillment — alongside internal orders placed by staff, orders originating from external channels, and B2B purchase orders. Every order is a permanent, immutable record: a snapshot of what was sold, at what price, to whom, and when.

Order Lifecycle#

Orders move through a defined status sequence from placement through fulfilment:

Pending → Confirmed → Processing → Shipped → Delivered

Cancellation is available from any pre-shipment status. Refunds are available after delivery. Each transition triggers notifications to the customer and updates to inventory and payment records.

Order History#

View, search, and manage the full history of all orders placed against the store. Filter by status, date range, customer, or source channel. Each order record contains a full snapshot of the items, prices, discounts, and addresses at the time of placement — this snapshot is permanent and unaffected by subsequent changes to the catalog.

Internal Orders#

Orders created directly by store staff — used for phone orders, in-person sales, or any order initiated outside the storefront. Staff can select items, apply pricing and discounts, enter shipping and billing details, and record payment against the order.

External Orders#

Orders originating from third-party channels — marketplaces, social shop integrations (Instagram, Facebook, TikTok Shop), and EDI or B2B integrations — are ingested and tracked alongside storefront orders. Each external order carries a source identifier for filtering and reporting.

Guest Orders#

When guest checkout is enabled on the store, orders can be placed without requiring an account. Guest orders are associated to the customer’s email address. If the guest later creates an account, the order history is linked to their new profile.

Refunds#

Refund behaviour is configurable per store. Options include partial refunds, and refund destination (original payment method or store credit). Refunds issued as store credit are immediately available for the customer to use on a subsequent order.
